Registration and Payment

What does the registration fee include?
Registration fees include access to a conference's scientific sessions, poster sessions, special sessions, social events, networking events, and hosted meals.

Can registration fees be prorated if an attendee cannot stay for the entire conference?
FASEB does not prorate registration fees.

What payment types are accepted?
Accepted payment methods for registration fees are Visa, MasterCard, American Express, and bank transfer. Purchase orders are not accepted. Conference fees paid by bank transfer will be subject to an additional $50 processing fee. All fees collected by FASEB are listed and collected in U.S. dollars. See the Other section at the bottom of this FAQs page for FASEB’s wire transfer information.

Can participants cancel their registration?
Cancellation requests must be emailed to src@faseb.org by the conference cancellation date. Cancellation requests received by this date will receive a full refund minus a $100 cancellation processing fee (excluding VAT, if applicable). There will be no refunds issued if your cancellation request is received after the conference cancellation deadline.

Can attendee substitutions be made?
Registrants may transfer their registration to another person with volunteer conference organizer approval before the conference. To request a transfer, please contact src@faseb.org. Transfers must be at the same registration fee or higher; additional payment will be requested for the latter.

Do invited speakers have to register/pay to attend?
All conference participants, including invited speakers, must register and fully pay in order to pick up their badge and attend the conference.

How can attendees make an update to their registration record?
Any registration updates may be made online by the participant in the Already Registered section of their registration record.

Where can attendees find a copy of their payment receipt?
Copies of payment receipts will be emailed to attendees upon successful completion of their registration. Please add the following domains to your trusted sender list to ensure receipt:

Abstracts and Posters

Who should submit an abstract for the conference?
Participants submit abstracts after completing registration. Invited speakers must submit an abstract before the abstract submission deadline. Other participants may submit an abstract by the abstract submission deadline to be considered for a poster session and/or a short talk. To submit an abstract, follow the prompt on the registration confirmation page or the link in the registration confirmation email to navigate to the abstract submission site. The link is also provided in your registration confirmation email.

Will all abstracts be presented as posters?
Authors of abstracts will present a poster at the conference during the poster session and upload an e-Poster to the conference’s app, the Attendee Hub. Poster presentation guidelines are available via the conference website. Invited speakers do not present posters.

How will an author know if their abstract was accepted for a short talk?
If an abstract is selected as a short talk, the author will be notified about 30 days before the conference. The author will also be expected to present a poster onsite during the poster sessions and upload an e-Poster to the conference's app, the Attendee Hub.

Will conference abstracts be published?
FASEB SRCs do not publish abstracts, but authors may wish to look at separate options of publishing their research with FASEB.


Awards and Reimbursements

How can an attendee apply for a travel award?
The specific conference website will list any details on available travel awards. Please apply via the instructions listed on the conference website. FASEB works with the conference organizers to allocate and distribute awards.

How can attendees find out if they are eligible to receive a travel award?
Contact FASEB at srcgrants@faseb.org for any questions regarding awards and reimbursements.

When will attendees receive information about travel awards/registration reimbursements?
If an attendee is selected for a travel award or registration reimbursement, the attendee will be notified a few weeks after the conference. Attendees are encouraged to keep records of all receipts. Non-U.S. attendees may need to provide wire information to receive an award.

How will an attendee receive reimbursement after the conference?
Attendees who paid for conference attendance via credit card will be issued a refund to the original card used during registration (fastest method and not to exceed the original amount paid). For other payment types, FASEB will contact the attendee to initiate a bank transfer.

What if attendees need to provide registration receipts to their own institutions for reimbursement purposes?
Please send a request to src@faseb.org if you need a registration receipt for your institution.

How can an attendee receive an official certificate of a poster award?
If you did not receive a certificate documentation onsite, please email srcgrants@faseb.org with the name of the conference and presentation title to receive an official certificate.


Travel Visas

Where can attendees best find visa information?
Due to changes in visa/visitor policies, attendees should contact their local embassy or consulate regarding visa eligibility questions.

How can an attendee request a visa letter to attend a conference?
During registration, attendees have an opportunity to request a visa letter, which will be sent to them once registration is completed.

If attendees are denied a visa, can they receive a registration refund?
Email any cancellation requests to src@faseb.org by the conference cancellation date. Cancellation requests received by this date will receive a full refund minus a $100 processing fee (excluding VAT, if applicable). Refunds after the cancellation deadline, due to the inability of a registrant to obtain a visa, will be evaluated on a case-by-case basis, and may require the submission of additional documentation.

How do attendees make lodging arrangements?
Each conference webpage provides information on discounted group room rates and booking instructions. Attendees make and pay for their lodging arrangements separately from registering for the conference.

Can attendees take pictures at the conference?
FASEB does not permit photography or the electronic capture of scientific sessions or posters as part of the conference agenda without the explicit consent of the presenting author(s), organizers, and FASEB. FASEB does permit recording/photographs of conference-related activities that do not include proprietary materials, such as a group activity or meals.

Do conferences provide child or family services?
FASEB does not provide childcare or family care services. Attendees are encouraged to check local resources such as the hotel for referrals. There may be conference-specific awards available to assist with childcare, please visit the conference webpage to find out if these awards are offered.

What if an attendee has an accessibility request to fully participate?
Requests for accessibility accommodations may be noted during the registration process or by emailing src@faseb.org. FASEB may not be able to accommodate requests made too close the conference dates.
