Invited Speakers & Session Chairs
Invited Speakers will receive their speaker invitation packets and speaker access code via email by January 31, 2014.
All invited speakers and session chairs must register for the conference in order to reserve a spot in the program agenda, receive a single occupancy room, and receive a name badge and program materials onsite.
Invited speakers and session chairs will be asked to enter an access code in order to gain access and complete the speaker registration form. The access code will be included in an email and in a letter that will be sent to you by the FASEB Science Research Conferences Office in February, 2014.
If a speaker registers less than thirty (30) days before the start of the conference, FASEB Staff cannot guarantee single lodging will be available. Invited speakers and session chairs are expected to pay in advance for their registration and travel expenses prior to the start of the conference. Air and ground travel arrangements are the responsibility of the speaker/session chair.
All invited speakers and session chairs are required to remain at the conference three (3) full days and three (3) full nights in order to receive any reimbursement of expenses.
Speakers are required to check-in with the on-site FASEB Staff at the FASEB Registration Desk by noon on the Tuesday of the conference. Staff will give you an Estimated Expense Reimbursement form. This form must be completed and returned by the end of Tuesdays Scientific Session.
If the Estimated Expense Reimbursement Form is not submitted to onsite FASEB staff, reimbursement may be rejected by the organizer. These expenses are estimated. No receipts or documentation is required.
Speakers will also receive a Speaker Expense Reimbursement form - this form must be filled out entirely and mailed along with original receipts to the FASEB Office in Bethesda after the conference. This form will not be accepted at the conference.
The amount of speaker reimbursement is unknown until the last day of the conference. An audit of sponsorships and fundraising is in progress until that time. Your conference organizers are working diligently trying to raise funds to reimburse speakers at the highest level possible. The amount of reimbursement is based upon the funds the organizers have been able to raise from public and private organizations. The amount of your reimbursement is at the sole discretion of the conference organizers NOT the FASEB SRC.
During registration speakers will be prompted to provide a name or institution along with an address to where the reimbursement should be sent. If a reimbursement is possible, speakers will be notified of the amount of reimbursement and sent a check in US$.
Invited speakers are required to submit an abstract of their presentation as part of the registration process online. Your abstract will be part of the materials that are distributed to the attendees at the conference.
Abstract deadline for inclusion in the program and consideration for a short talk is 30 days from the start of the conference.
Visit the "Abstract & Poster Information" webpage for more information.
Speakers are asked to bring their own laptop. FASEB will not not provide laptops.
An LCD projector will be provided (PC and MAC compatible). If a speaker is using a MAC, please remember to bring the appropriate adapters required.
All speakers are asked to use PowerPoint (or a similar program) for their oral presentations.
Plan to arrive at the meeting room at least 30 minutes prior to the session to allow time to set up and test the computer and projector.
Other equipment available on-site will include:
- Lectern microphone
- Laser pointer
- Aisle microphone (for Q&A)
If you require equipment that is not listed, contact your organizer to make arrangements.
Please be aware of the time allotted to each speaker and adjust your presentation accordingly.
PPT Slide template for Conference Presentations
FASEB SRC provides all speakers and organizers with a Powerpoint slide template
for their conference presentations. FASEB SRC strongly encourages that this slide, or versions of the slide be used as a standard format for all presentations in order to provide a polished presentation and consistent formatting among all FASEB conferences.
