Travel Awards for FASEB Science Research Conferences

ATTENTION: All complete travel award application packets must be received by the FASEB MARC Program Office by 5:00 PM (Eastern Time) on the related application receipt deadline date.  ALL late and/or incomplete application packets will be DECLINED upon receipt.

 

 
The FASEB Science Research Conferences (SRC) have been very successful and scientifically important activities of the Federation since 1982. There are approximately forty conferences which meet for five days during the summer period (June-August) on topics in biomedical research.  Emphasis is on the cutting-edge of research, with prominent scientists in each field making presentations to attendees who themselves are heavily engaged in research or ancillary fields where an accurate understanding of allied scientific advances is important.
 
The conferences are convened in quiet and remote locations (Colorado, Vermont, California, Arizona and occasionally in international locations) to encourage free interchange and interaction among the participants.
 
FASEB MARC Program Travel Awards are available to help defray the cost of conference registration fees and related travel expenses for eligible faculty scientists, postdoctorates and advanced graduate students  from underrepresented groups in the biomedical and behavioral sciences.

 
* For the purpose of meeting the goals and objectives specified by the MARC Program, qualified groups that are identified as being underrepresented in the biomedical and behavioral sciences include, but are not limited to: African Americans, Alaskan Natives, Hispanic Americans, American Indians/Native Americans who maintain tribal affiliation or community attachment, and Natives of the USA Pacific Islands (Guam, Hawai'i and American Samoa only.)
 
Qualified applicants must be citizens or non-citizen nationals of the United States of America or must have been lawfully admitted to the United States of America for permanent residence and have in possession a permanent visa (green card) at the time of application submittal. Individuals on temporary or student visas are not eligible for FASEB MARC Program funding. 
 

Eligibility and Requirements

MARC/SRC Travel Award applicants must be full-time underrepresented faculty, research scientists, postdoctoral fellows or advanced graduate students who reside within the USA or USA territories.

MARC/SRC Travel Award applicants must be USA Citizens or Permanent Residents of the USA (green card holders). (Federal guidelines restrict the FASEB MARC Program funding for USA Citizens or Permanent Resident of the USA only.)  Proof of USA Citizenship or Permanent Residency will be required.

MARC/SRC Travel Award applicants must submit an online SRC application form located on the FASEB Science Research Conference web site before applying for a MARC/SRC travel award.
After you have received notification of your acceptance to participate in the SRC, you are advised to complete and submit a MARC/SRC Travel Award application to the FASEB MARC Program Office. Applications may be obtained by:

Notification of MARC/SRC Travel Award approval will be made in writing by the FASEB MARC Program Office.
 

NOTE: We are prohibited from providing funds to employees and trainees at federal facilities who receive federal support for their salary/wages. For more information regarding Federal Travel Regulations, visit

In addition, we are not be able to provide travel funds to any applicant who is directly supported by federal funds that include travel to meetings.  This means that applicants who are supported by NIH F32/F31 fellowships, NIH K-series, or applicants who have similar support from other federal agencies (e.g., NSF, etc.)  Graduate students and/or Postdoctoral Fellows who are supported through their mentor’s NIH R01 grant or similar grant from other federal agencies may receive travel funds. All sources of federal funding support must be disclosed with the application packet.

 

How to Apply for a FASEB Science Research Conference

In order to attend any of the FASEB Science Research Conferences, you are required to submit an online application for review by the organizers. A brief CV is a requirement of the application process as well as credit card information.
 
An abstract is not required for general applicants, but if you would like to submit one, it must be submitted at the same time as the SRC application. For additional information, please click here.

After the SRC organizers have reviewed the application (and abstract if applicable) he/she will make a decision based on the information provided whether or not to accept/invite the SRC applicant to attend the conference.  If the SRC applicant is accepted/invited to attend the conference, the credit card information accompanying the registration/application form will be charged the registration fee.  If the person has not been accepted to attend, the credit card provided will not be charged.

The SRC organizers will review the application, CV and abstract (if applicable) and make a decision whether or not to accept the applicant to attend the conference.
 
If the applicant is accepted, the credit card provided during the application process will be charged the registration fee. If the applicant has not been accepted to attend, the credit card will not be charged.
 
Once accepted, the applicant will be notified via email by the FASEB SRC Office. Additional messages will be sent about the conference, location and lodging assignments (if applicable.)
 
NOTE: The FASEB SRC Office only accepts online applications accompanied with credit card information. You may find the online application form and additional information including application deadline dates at the FASEB SRC web site, http://src.faseb.org. Please submit your SRC application as early as possible.

GENERAL INFORMATION:

Apply early. Space is limited to approximately 175 participants (including speakers.)
It is best to submit the application on a personal computer using the latest version of MicroSoft Internet Explorer.

All speakers are required to pre-register online, pay the full registration fee and submit an abstract. CVs are not required for invited speakers. (See "Invited Speaker Information".)

FASEB does not accept checks, wire transfers or purchase orders for payment. We ONLY accept Visa, MasterCard and American Express.

Any application received after the early deadline date will have a $100.00 fee applied in addition to the application fee. (See "Deadlines and Policies".)

In most cases you will receive notification within two (2) weeks of the submission; however, in some cases it could be closer to three (3) weeks.

At the end of the application process, you will receive a Submission Received notification page indicating your Web ID number (12345-9876.) Print this notification page for your records. you will need it for future reference.  

If the Submission Received notification page does not appear, your application was not successfully submitted. The application and abstract information will need to be re-submitted.

If you must withdraw your abstract, please contact the SRC Office in writing so the conference organizers may be notified. You may fax this information to (301) 634-7007.

If you must cancel your conference registration, you must complete the Cancellation Notification Form and fax it to the FASEB SRC Office at least sixteen (16) days prior to the start of the conference.

AFTER you have received notification of acceptance to attend the FASEB SRC, you may complete and submit a FASEB MARC/SRC Travel Award application for consideration.
 
The number of FASEB/SRC Travel Awards is limited; therefore, each underrepresented minority faculty member, postdoctorate or advanced graduate student may apply for only one (1) conference per summer period. Preference will be given to first-time/new conference participants and applicants giving oral or poster presentations at the SRCs.  Specify the conference you desire to attend on the application form.  A listing of the summer research conferences and online application form are available at (http://www.faseb.org/src/Home.aspx).  
 
A cover letter along with the FASEB MARC/SRC Travel Award application form is required. The cover letter should:
a) Discuss the anticipated benefits to be derived from the participation in the FASEB MARC Science Research Conference Travel Award Program.  The letter should identify the specific benefits expected for the research and teaching programs of the institution as well as the benefits to the applicant and his/her career.
 
b) Provide written certification/verification that the applicant is a full-time underrepresented minority faculty member, postdoctorate or advanced graduate student at the applicant's home institution, and that submission of the travel award application is approved by the Department Head, Dean, or other equivalent official of the institution.
All completed FASEB MARC TRAVEL AWARD APPLICATION packets must be received in the FASEB MARC Program Office at least six weeks prior to the scheduled conference dates.  Upon approval of the FASEB MARC/SRC travel award application, an official travel award letter specifying the details of the travel award will be sent to the awardee at least three (3) weeks prior to the conference.
 
PLEASE BE ADVISED, LATE AND/OR INCOMPLETE TRAVEL AWARD APPLICATION PACKETS WILL BE DECLINED UPON RECEIPT.
   

Procedures upon Notification of the Travel Award

Upon your arrival to the conference, make sure you have in your possession the notification of the travel award letter from the FASEB MARC Program which outlines the procedures.

You will be instructed to arrange your travel to and from the conference site.

Air travel (economy coach class) is the standard means of traveling to and from the conference sites.  Any alternatives from traveling by air must be approved in advance by the FASEB MARC Office. Please note: failure to receive prior approval (in writing) for alternative travel options may result in your travel expenses not being completely reimbursed.

As an SRC Meeting Registrant, you are required to submit a valid credit card information for the conference registration fee at the same time you submit the online SRC application. The FASEB MARC Program Travel Award reimbursement will cover “onsite double occupancy accommodations” (including registration, room and meals) only. Since meals are included with the registration, there will be no per diem allowance for the SRCs.

FASEB MARC/SRC Travel Awards are processed as reimbursements after the conference. A travel expense voucher will be provided for each travel award recipient at the time of travel award approval notification. All receipts must be attached to the travel voucher in order to be considered for reimbursement. Expenses not supported by original receipts will not be reimbursed.
